Paramount Windows, Inc., lacked a structured approach to document management – leading to redundant work, lost or damaged files and an uncoordinated workflow. With more than 250,000 hard copy documents on file in regional offices throughout the country – and more than 1,500 documents added every day – the need for a better document management strategy was clear.

Technical printing problems were also a major issue, causing printer downtime, multiple vendors needed for repairs and an IT staff continually tasked with handling printer-related issues.

FlexPrint was charged with improving accessibility of documents and workflow between multiple departments and offices, lowering costs, integrating new hardware and providing proactive print management services.


Solution

FlexPrint first analyzed Paramount’s document infrastructure, finding a lack of cohesion and efficiency between existing processes and end-user initiatives. We then employed a comprehensive document management strategy to solve these complex problems:

  • Install new Hewlett-Packard high-speed scanning hardware integrated with Liberty Electronic Management Software and a database integration program, allowing employees to minimize time spent scanning and providing easy accessibility to employees.
  • Upgrade 90 percent of existing hardware with more than 3,700 HP LaserJet printers to accommodate color-printing needs and eliminate unnecessary printing expenditures.
  • Redeploy remaining printers to service more private printing needs.
  • Create one centralized support staff for all printing concerns.
  • Consolidate all parts, labor, and toner cartridges in one monthly invoice for easy billing and accountability.
